Taxi booking mechanisms

All taxi suppliers added to I-GTM have access to a dedicated dashboard which shows a list of all accepted past and future jobs, and the ability to adjust the collection time, manually merge bookings, enter the base price and add extras after the job has completed.

Taxi suppliers can accept bookings sent in one of two ways:

  • By email
  • By API

Bookers can choose to request that I-GTM books a taxi from any supplier on the list (supplier agnostic), select a specific supplier, or book outside the system and use I-GTM to notify the Client of what has been booked for record keeping purposes.

Bookings by email

Booking requests are sent to suppliers via email and SMS. Upon receiving a request, the supplier can accept or decline the booking by clicking a provided link and providing a base price. I-GTM then calculates additional fees and returns a final price to the booker, encompassing all costs. Once confirmed, the taxi is considered booked and can only be cancelled through the dashboard by the booker or school staff. Cancellation notifications are promptly sent to the supplier via email.

Bookings by API

For bookings made with API-connected suppliers, quotations and booking confirmations are instantaneous. Utilising the same email mechanism as described for bookings by email, confirmation is swiftly sent to the booker. Cancellations are exclusively managed through the I-GTM dashboard and take immediate effect. API bookings offer additional functionalities such as dispatch and journey tracking.

Bookings requested from any supplier (non-specified)

For bookings that are supplier agnostic, the system initiates a request to a supplier randomly chosen based on matching the request criteria. Taxi companies are ranked according to their preference for handling both local and long-distance jobs.

If the selected supplier either declines the booking or fails to respond within the specified period, a cancellation notice is issued and another supplier is chosen using the same criteria. This process continues through the suppliers on the current preference tier. If all suppliers on a given tier are exhausted, suppliers on the next tier down are attempted, and so forth until a suitable supplier is found.

If no supplier can be secured, a notification is sent to I-GTM staff for manual intervention.
